LLP/Erasmus for incoming students
Each academic year the Faculty of Engineering Science of the Katholieke Universiteit Leuven welcomes more than a hundred students from several European universities. If you are interested in coming on Erasmus exchange to one of our departments, then you are on the right page to find all the information you need.
Prerequisites
To be able to accept you as an Erasmus student we must check whether you meet all prerequisites:
- Your home university has signed an Erasmus bilateral agreement with our faculty. Ask your home coordinator about it. We do not accept free movers !
- You have been selected by your home university for Erasmus exchange with KU Leuven.
- During your Erasmus exchange you will be a master student (postgraduate = 4th or 5th year of study). This means you are now (during application) in your 3rd year of bachelor (3rd year of university) or in your 1st year of master (4th year of university).
Application information
The deadlines:
- 14th April for exchange during the first semester (end of September until beginning of February) or full academic year (end of September until beginning of July).
- 1st October for exchange during the second semester (beginning of February until beginning of July).

Don't forget to upload your Learning Agreement (document with proposal of courses, selected from our list) and a Transcript of Records (document with courses and grades of the past years at your home university).
Your home university has to send your nomination (full name, e-mail address, field of study and study period) by e-mail to pascale.conard@eng.kuleuven.be.
It is not necessary to send application documents by regular mail or e-mail.
Your Learning Agreement will be signed when you arrive in Leuven.
English courses and the Learning Agreement
The education in the Faculty of Engineering is being organized in cooperation with the following 7 departments:
- Architecture, Urban Design and Regional Planning (ASRO)
- Civil Engineering (BB)
- Chemical Engineering (CIT)
- Computer Science (CW)
- Electrical Engineering (ESAT)
- Metallurgy and Materials Engineering (MTM)
- Mechanical Engineering
Course list for Erasmus students:
These departments offer several English master courses. An overview can be found here: http://www.kuleuven.be/onderwijs/aanbod/opleidingen/E/F_50000486.htm However not all of these course are open for Erasmus students.
Therefore Erasmus applicants should consult this Excel document to choose courses. Only these courses will be open for Erasmus students. No other courses will be accepted. This list can still undergo changes until the start of the academic year but it can be used to put together an acceptable Learning Agreement for the application. The Learning Agreement can still be (slightly) changed upon arrival (when it seems that some courses aren't taught, when lessons overlap,...).
Please read the instructions in the first worksheet of the Excel document carefully when choosing courses!
For students who want to do a thesis project, please keep in mind that you need to have the acceptance of a professor in Leuven to be your thesis promoter before the application deadline. Put the name of the professor in your Learning Agreement when you upload your application, and if possible also the thesis title and the number of credits.
If you don't have a promotor in Leuven, you cannot be accepted for a project in Leuven!
Acceptance and Permission
After the application deadline, Anouck Brouwers will process all applications. She will check whether there is a bilateral agreement with your home university and whether your home university has sent your nomination by e-mail.
For further approval she gets the advice from the departmental Erasmus coordinators. They will check if you have sent us an acceptable learning agreement. Course changes are still possible when you arrive in Leuven but the main part has to be acceptable and according to the rules.
You can follow-up your file online and you will be informed by e-mail when a decision on your application has been taken. When your application has been approved (in June or July), you first need to accept the offer before the official letter of admission will be sent. You can accept the offer using the web application Applicant (more info here: http://www.kuleuven.be/admissions/exchange/instructions.html). As soon as your acceptance is received, the letter of admission will be issued and sent (in July or August).
